Typical Duties
- Calendar management: schedule appointments, coordinate availability, send confirmations and reminders, and manage basic rescheduling or cancellations.
- Email triage: monitor inbox, sort and prioritize messages, flag or escalate urgent items, and draft routine replies on behalf of the client.
- Phone and front-desk support: screen and route inquiries, take messages, and conduct basic customer service.
- Document preparation and editing: create, format, proofread, and organize letters, reports, presentations, and spreadsheets.
- Data entry and recordkeeping: maintain contact lists, databases, client or vendor records, and ensure files are updated and backed up.
- Meeting support: prepare agendas, assemble materials, take minutes or notes, and distribute follow-ups and action items.
- Travel coordination: research options, book transportation and lodging, and prepare itineraries and expense summaries.
- Office logistics and supplies: manage ordering supplies, coordinate equipment servicing, and maintain professional workspace organization.
- Project assistance: support small projects with research, timeline tracking, task reminders, and vendor coordination.
